Hi, this is [Name] at [Business] - sorry we missed your call! What's going on, and what's the address? I'll get right back to you.

That one message does three jobs: it apologizes, it opens a conversation, and it starts qualifying. Avoid robotic 'your call is important to us' language — customers can smell an autoresponder and it kills the reply rate.

Don't over-automate
Blasting five automated messages feels spammy and gets you ignored or reported. One warm text, then a real conversation.

Qualify without interrogating

Ask only what you need to show up prepared and quote fairly. For most trades that's: what's the problem, how urgent, and where. Layer questions naturally as they reply — don't fire all three at once.

  • What's the issue? (scope)
  • How soon do you need it? (urgency + priority)
  • What's the address? (service area + routing)
