Do not put a fake “78% will engage” card on this page. If you need a number, use a named study or your own log. Harvard Business Review (March 2011) audited 2,241 U.S. companies on a test web lead: 37% responded within an hour, 23% never responded, average 42 hours among those who responded within 30 days. In 1.25 million leads, contact within an hour was nearly 7× as likely to qualify as waiting one more hour, and more than 60× as likely as waiting 24 hours.1 Those are contact/qualification clocks on web leads, not HVAC close rate and not SMS reply rate. Cooling-season volume still follows heat: OSHA treats heat as an occupational hazard and names air conditioning as an engineering control.8 When the city is hot, unanswered rings are jobs leaving.

What missed-call text-back actually is

A caller hits the number on your Google Business Profile. You are on a roof, in an attic, or the line is in use. The ring ends without a human. Within seconds, that same number gets an SMS from the shop.

Four pieces, in order:

  1. 01Trigger — unanswered, busy, or after-hours on the published line. Answered calls must never fire. If a tech talked for two minutes, a “sorry we missed you” SMS is how you look broken.
  2. 02Identity — first line is the shop name on the pin. They did not save you.
  3. 03One useful question — heat or cooling plus address, not “how can we help?”
  4. 04A human path — the thread lands on the phone the owner or dispatcher actually holds.

Google’s native Business Profile chat and call history ended 31 July 2024. Callers still use the number you publish. Eligible profiles can add text or WhatsApp; if both, only text is shown.4,5,6 Text-back is how you occupy that channel without sitting on the handset.

Winter variant: swap the question to “Are you without heat, and what’s the address?” Summer variant: cooling. Do not run both questions plus a menu of services. One question.

Qualify without interrogating

When they reply, you need five fields. You do not need a novel.

No third marketing text. Pocket dials, people who already booked the next shop, and people who will call tomorrow do not need a drip. More SMS is how carriers and customers both decide you are spam.

Should you text a missed call? Yes, once, immediately, as the shop they rang. No, as a sequence that outlives the need.

FCC: autodialed or prerecorded calls and texts to wireless numbers require prior consent. Commercial texts require written consent; informational texts may have oral consent. Emergencies involving danger to life, safety, or property are excepted. Rules apply even if the number is not on the National Do Not Call Registry. STOP / revoke must be honored.2,9

How shops usually stay on the right side of this:

  1. 01The person called you. You are responding to their inquiry, not renting a list.
  2. 02The first SMS contains no advertisement (no coupon, no “book our tune-up special”).
  3. 03You honor STOP in software, not as a slogan.
  4. 04You do not autodial an artificial-voice callback; a human returns the call.
  5. 05You keep this number off outbound telemarketing blasts so complaint-based blocking does not kill the shop ID.3
  6. 06If you later send offers to that number, you are in Telemarketing Sales Rule / TCPA advertising territory. That is a different consent capture (website checkbox, recorded keypress, etc.).7,9

Voicemail is what is left after they have already moved on. Text-back is you speaking first.

After-hours vs daytime

Daytime: text-back is usually enough if the owner actually calls back. After hours: add voice overflow so the caller who will not type still leaves a card. Same inbox. Same 60-second rule. Do not run two owners for one lead.

Heat waves and cold snaps are coverage events, not content events. OSHA’s heat guidance exists because bodies fail in heat; indoor cooling is a control.8 Your Google hours and your greeting should match what you can actually staff. Lying on the pin creates misses the text cannot save.

Do not attach “we also do tune-ups, IAQ, and financing.” That turns an informational callback into an ad. Keep membership pitches on a different number and a different consent path.3,7

Wiring notes that actually break shops

  1. 01Google forwarding numbers. If the pin shows a tracking number that dies when a campaign pauses, text-back is texting a number the customer did not save. Prefer the stable shop number on the profile.6
  2. 02Carrier visual voicemail. A miss that went to VM can still be a miss. Trigger on unanswered, not on “no voicemail left.”
  3. 03Shared office line. If the same DID is used for vendors and customers, you will text the supply house. Filter by after-hours and unanswered only, and keep a vendor list if you can.
  4. 04Two owners, two phones. One inbox. Split on-call by calendar, not by “whoever sees it.”
  5. 05Form leads. Same first-touch rule, different trigger. A web form is the HBR clock: hours of delay kill qualification.1 SMS the form-filler and push the owner.
