A dental office can ask “what’s a good time.” A plumber needs to know if water is running onto a floor right now. The AI either collects that in the first 20 seconds or it is a voicemail.
Why plumbing intake is not a generic receptionist script
Symptom tree (voice or SMS)
- 01Is water still running? Yes → “Can you shut the valve? Main is usually at the street or in the basement.” If they cannot, that is the dispatch priority, not a later window. No → still get the address. Residual damage and “is it still dripping” are second questions.
- 02Where? Kitchen, bath, water heater, slab, ceiling, sewer cleanout, outside.
- 03Sewage? Backup in a tub or floor drain is a different truck and a different PPE story than a supply-line drip.
- 04Gas? Smell of gas → leave the building, call the gas utility / 911, then the shop. The receptionist must not keep them on the line for a membership pitch.
- 05Occupied? Access? Pets? HOA? These belong on the card so the tech is not standing in a lobby.
If your AI cannot branch on those five, it is not a plumbing receptionist.

Google is still the front door. Claimed profiles can add text or WhatsApp in supported regions (if both, only text shows).4,5 Native Business Profile chat ended 31 July 2024; the phone number on the pin is the channel.6 The AI receptionist must sit on that number.
Three-message SMS (plumbing)
Use this when the ring dies. Not a drip campaign. Three is the ceiling.

Message 3: do not send. They called someone else or it was a pocket dial. More texts is how you look like a mill.
Then you call. The AI does not negotiate a window in SMS while a cabinet is filling.

Artificial / prerecorded voice to wireless is a consent surface.2,9 Prefer: they called you (inbound), you may use AI on that inbound path; you return the outbound call with a human.
How AI helps a plumbing business (and how it does not)
Helps
- Recovers the miss while you are in a crawlspace
- Standardizes the first five questions so every tech gets the same card
- Covers nights without a salaried night desk
- Logs answer rate so you can see whether ads are wasted
Does not help
- Replacing a receptionist who already books well and sits next to the dispatch board
- Content marketing about “will AI replace plumbers” (career panic is not a shop system)
- Auto-quoting. Water damage jobs are not SKUs.
Will receptionists be replaced by AI? In a 2–8 truck plumbing shop there often is no receptionist — the owner’s pocket is the front desk. AI is a pocket amplifier. In a larger shop, AI is overflow so the live person is not crushed by simultaneous rings. That is the whole story.

Outbound hygiene
When you call back, use a number that matches the shop, not a blast ID. FCC: support callbacks are less likely to be blocked if they are not mixed with outbound telemarketing patterns; keep a consistent callback number in messages.3 Do not run coupon campaigns from the same ID as emergency callbacks.

The water does not wait for a pretty voice.
A correct address and a 60-second human callback beats a warm fake who books the wrong day.

The receptionist recovers the ring. A separate, human-written clock recovers the estimate pile. Do not mix them.

If the AI returns a paragraph (“Customer is experiencing some issues with plumbing in the residence…”), rewrite the prompt until this block appears. Techs do not read essays in a van.

Catch missed calls, take after-hours cards, and force a human first touch while the leak is still the leak. It will not find you new map-pack demand by itself.
It replaces unanswered rings, not a person who already books. Most small plumbing companies never staffed a receptionist.
No. This page is shop operations. A model cannot sweat a copper joint. If you are hiring, hire plumbers. If you are missing calls, hire a catcher.
Keep the first text informational, no coupon, honor STOP, get counsel on autodialer classification.
