A pretty voice demo is not a score. Recovered jobs per 100 misses is a score.
Speed still sits under the voice. Harvard Business Review (2011) found a 42-hour average response to test web leads among companies that responded within 30 days, 23% never responded, and contact inside an hour was nearly 7× more likely to qualify than waiting one more hour (1.25 million-lead companion dataset).1 Your caller is standing in water or heat. They will not wait 42 hours.
What contractors mean by “answering service”
Three different products get sold under one phrase. Buy the one that matches the miss.
- What the caller gets
- SMS in seconds
- When it pays
- Daytime misses on the truck
- Failure mode
- Looks broken if it texts after you already answered
- What the caller gets
- Spoken intake after hours or on a busy line
- When it pays
- Nights, lunch, second simultaneous ring
- Failure mode
- Fake “we’re on the way”
- What the caller gets
- A person
- When it pays
- High-ticket, high-volume shops that can staff it
- Failure mode
- Slow scripts, can’t dispatch
| Product | What the caller gets | When it pays | Failure mode |
|---|---|---|---|
| Missed-call text-back | SMS in seconds | Daytime misses on the truck | Looks broken if it texts after you already answered |
| AI voice overflow | Spoken intake after hours or on a busy line | Nights, lunch, second simultaneous ring | Fake “we’re on the way” |
| Live receptionist | A person | High-ticket, high-volume shops that can staff it | Slow scripts, can’t dispatch |
Most 2–8 truck shops should run text-back always, voice overflow after hours, and live pickup whenever a human is in the building. “Best” is that mix, not a single logo.
Harvested owner questions for this page: can AI answer phone calls, can AI answer my business phone, is an answering service worth it, phone answering service for contractors. Those are buying questions. Answer them with a transfer sheet, not a feature grid.
The transfer sheet (this is the product)
Print this. If a vendor cannot fill it on a recorded test call, they are not an answering service. They are a voicemail with a neural net.

RING {hh:mm} AI {hh:mm} NEED HUMAN NOWIs an answering service worth it?
Run 14 days of logging before you sign an annual.
Worth it if recovered booked jobs cover the bill and the owner’s cognitive load dropped (you are not replaying voicemail in the driveway). Not worth it if the service takes messages you already would have gotten by text-back, or if “handled” means the caller was told someone would call and nobody did.
Live receptionists cost more per minute and can be better on messy, high-ticket calls. AI overflow is cheaper at 2 a.m. Many shops need both less than they think: daytime human + night AI + always-on text-back.
Legal: voice, texts, and “the AI called them back”
FCC: robocalls are autodialed or prerecorded / artificial voice. Written consent is required before prerecorded telemarketing to home or wireless; oral or written consent before autodialed or prerecorded non-telemarketing calls or texts to wireless; emergency calls about danger to life, safety, or property are excepted.2 47 C.F.R. § 64.1200 is the rule text.9
Implications for a contractor answering stack:
- 01Inbound the customer placed is not a robocall.
- 02Outbound AI voice that calls them back with an artificial voice is a different animal. Default: human returns the call.
- 03SMS after a miss: keep it informational, no offer, honor STOP. Commercial autodialed texts need written consent.2
- 04STOP / revoke must work in any reasonable way, including reply STOP.2
- 05Spam labeling: keep support callbacks off numbers used for outbound marketing blasts so carriers do not block the shop line.3
- 06Telemarketing Sales Rule still applies if you are selling by outbound telephone in ways the FTC covers (disclosures, calling hours, DNC).7 A return call to a person who just asked for a plumber is not a purchased-list campaign. Do not copy a TSR script onto a missed-call callback.

Failure modes (kill these in the demo)
- What you hear
- Customer just talked to you, then gets “we missed you”
- What you do
- Hard rule: talk time > 0 = silent
- What you hear
- “Someone will be there in 30 minutes”
- What you do
- Ban the phrase. Only a human with a calendar may give a window
- What you hear
- AI quotes a diagnostic sight-unseen
- What you do
- Ban. Collect the card. Human quotes

On-call SLA (write names)
PRIMARY {name} {mobile} {hours}
BACKUP {name} {mobile}
ACK 60 seconds or backup rings
SAFETY gas / CO / spark / active flood → primary + backup same time
NO ACK owner’s personal mobile, then the other ownerIf you cannot fill this card, you do not have an answering service. You have a voicemail with extra steps.
What “handled” must mean in the log
Do not let the vendor define “handled” as “the AI spoke.” Your log:
- 01Ring started
- 02Who spoke (human / AI / nobody)
- 03Card complete? (yes/no — missing address = no)
- 04Human ack timestamp
- 05Outcome: booked / quoted / no-fit / no-answer-on-callback / STOP
A week of that beats any demo reel. HBR’s 23% never-responded companies failed at step 4 in slow motion.1 You fail it in ten minutes if the card never leaves the AI.
Misconception
FAQ
Yes. The contractor question is whether it should be the first touch. Daytime, a person in the shop should pick up. AI earns its keep on overflow and nights.
Yes, by forwarding unanswered and after-hours, keeping the public number. If they insist on replacing the number, you will orphan the pin and the trucks.
They are profitable when they recover jobs that would have gone to the next Google result. They are a cost center when they duplicate text-back or when nobody works the hand-off. Measure booking rate, not minutes of AI talk.
Card on the phone you already look at. 60-second rule. HBR’s 42-hour average is the cost of a queue with no owner.
AI for overflow and scripted intake. Live for messy, high-ticket, or when you can staff it. Text-back for every miss either way.
Trade-shaped versions: HVAC text-back and plumbing receptionist. Platform wiring: AI platforms for missed calls.
